What is vendor performance management software?
Vendor performance management software records how well an external vendor performed on work you paid them to do, and turns that record into a renew-or-cut decision. It is a different category from procurement software, which handles sourcing, purchase orders, and payment, and from a CMMS, which schedules and closes work orders. The defining feature is a per-vendor quality history built from individual completed jobs.
How is vendor performance management different from a CMMS?
A CMMS records that work happened; vendor performance management records how well it was done. A CMMS such as UpKeep or MaintainX raises a job, assigns it, and closes the ticket, but neither the schedule nor the closed ticket says anything about quality. Evalystar adds the evaluation after the ticket closes. Most facility teams run both rather than replacing one with the other.
Who uses vendor performance management software?
Two different functions, and usually two different people. Raters are the on-site staff, site managers, and property managers who score a job as it completes. Buyers are whoever carries the vendor contract’s financial risk and makes the renew-or-cut call: a director of facilities, a VP of operations, a procurement director, or a GM, depending on the size of the organisation.
Does Evalystar score vendors automatically?
No. A person submits every score. When a job completes, the reviewer accountable for that service window receives a single-use link by email and rates the work against criteria set for that service type. Evalystar automates the request, the overall rating calculated from the submitted criteria, and the roll-up across vendors and sites, but it never generates a score for work nobody rated.
How long does it take to get useful vendor performance data?
It depends on how often the vendor actually works. A cleaning contractor on a daily schedule produces a readable pattern within weeks; an HVAC contractor on quarterly preventive maintenance takes considerably longer. The record is useful from the first evaluation for documenting an incident or a dispute, and becomes useful for a renewal decision once there are enough scored jobs to show a trend rather than one bad day.
